 Participating in a research interview

We are grateful to everyone who we speak with in our research interviews. It’s often how we get the best understanding of the real experience. Good quality design and decision making is only effective when based on good quality evidence and data.

What information we collect

  • You are not obliged to participate in a research interview- we only conduct these where we have your consent.

  • For an interview, you may provide us basic information such as your name, phone number, address and email address to enable us to send you information, provide updates or otherwise provide you a service or support.

  • During the interview, we will ask you some questions about you and your personal circumstances. This will vary depending on the research we are undertaking. We will explain the purpose of the research prior to seeking your consent and explain the nature of the questions we will be asking.

  • You may decline to provide this information at any stage prior to or during a research interview. We won’t be offended- we are grateful for what you share, not what you choose not to.

How we collect your information

  • Research interviews are conducted via a range of different methods including phone, in person and digital means (i.e. Microsoft Teams, Zoom).

  • We generally record our interviews but will always ask your consent to record our interview. If you do not wish your interview to be recorded, we will respect your choice.

How we use your personal information

  • Information you provide us prior to an interview is used for the purposes of scheduling an interview and ensuring we are recruiting enough people for the research question we have been asked to investigate.

  • Information you provide us during interviews is used to:

    (a) establish the demographic profile of the group of people we have interviewed so we can ensure it is sufficiently broad

    (b) identify themes and insights relevant for the research at hand.

  • Interview recordings are used internally to review the accuracy of interview notes and findings. It also helps us to ensure we have adequately captured everything you have told us. This can be challenging if we are interviewing many people in a day, who may have similar experiences.

How we do and don’t (!) disclose your information

  • Your personal identifying information is never disclosed as a result of a research interview, publicly or otherwise, without your express consent. We do not use research participant information in any way for marketing or other purposes.

  • Your personal information is used to gather collective insights about a research topic and reported as group findings to the client organisation we are working with. We may use quotes from your interview in our reports however, these are de-identified so as to protect your identity.

  • If, during a research interview, we determine there is a support or something which could help your circumstances, we will ask your consent to disclose your information and circumstances to that organisation or person.

Participating in a research survey

Sage Design and Advisory conducts research surveys on behalf of client organisations we are working with.

What information we collect

  • We conduct research surveys using online platforms such as Survey Monkey and Qualtrics. When you visit the survey site, these platforms may collect certain information such as browser type, IP address, location and other metadata associated with your interaction.

  • When you commence a survey, you may provide basic information such as your name, phone number, address and email address to enable us to send you information, provide updates or otherwise provide you a service or support.

  • We may collect other personal information as part of the survey, relevant to the purpose of the research we have been asked to undertake. Your participation in the survey is, at all times, your choice and we will ask your consent to participate.

  • You can choose to stop participating in the survey after commencement.

  • We may also collect additional information at other times, including but not limited to, when you provide feedback, when you provide information about your personal affairs, change your content or email preferences, respond to surveys and/or promotions, or communicate with our team.

  • If you opt out of the survey after starting, your information and responses will not be used in any reporting or synthesis.

  • Your personal identifying information is never disclosed as a result of a research survey, publicly or otherwise, without your express consent. We do not use research participant information in any way for marketing or other purposes.

  • If there is an incentive available (such as a promotion or reward for participating in the survey), your information may be disclosed to the organisation we are conducting the research for, solely for the purposes of providing you with that incentive/reward.

  • Your personal information is used to gather collective insights about a research topic and reported as group findings to the client organisation we are working with. We may use quotes from your survey in our reports however, these are de-identified so as to protect your identity.

Working with us as a client

When we work with our client organisations, we understand the trust they are placing in us. Here’s how we manage information in relation to, and on behalf of, our client organisations.

What information we collect

  • The scope of information we collect about your organisation will depend on how you engage with us and the work you have asked us to undertake.

Services though our website

  • If you subscribe or purchase services through our website, we will collect information in order for us to provide you with the service or information in question. Please see Visiting our website and our Terms of Service for further details.

Consulting services

  • We will collect information about your organisation and it’s business affairs in order to formulate a contract with you and complete the work you have requested. Information may include (but not be limited to) your organisation’s ABN, address, contact information, details of key staff and other commercially sensitive information such as financials, contract information and key activity levels.

  • During an engagement we may collect information about your staff, including but not limited to their role, perspective and attitudes, contact and personal information. Staff may provide us with information regarding your business affairs, relevant to the work you have asked us to undertake.

  • Depending on the nature of the work you have requested, you may also provide us with information about your customers, including information regarding complaints, phone calls, demographic information, product and service utilisation.

How we collect your information

  • Sage Design and Advisory collects personal information from you in a variety of ways, including when you interact with us via email or other channels and when you access our website. How we use your information

  • Information you provide is used to develop commercial agreements between your organisation and Sage Design and Advisory. It is also used to understand your needs and how we can improve our services to you.

Consulting services

  • Information provided as part of consulting engagement is used to complete the work you have asked us to undertake.

  • Your organisation’s information is treated confidentially and we will put in place formal agreements with you as part of any consulting agreement.

How we do and don’t (!) disclose your information

  • We may disclose certain information to vendors, contractors and others who assist Sage Design and Advisory in delivering our services (e.g. credit card processing, etc).

  • We may use your name publicly, only after receiving written permission from you, to identify you as a client and we may refer to you in connection with the services we have provided if, in doing so, we do not disclose any of your confidential information or it is a matter of public knowledge that we are or have provided such services.

How we store information

We prefer Australian hosted solutions and data warehousing, however, in some cases we do require solutions which are hosted overseas.

This means that, from time to time, we may collect, store, process or transfer information between parties outside of Australia.

This includes but is not limited to the United States and Singapore.

Disclosure of information for legal reasons

From time to time, we may need to disclose personal and commercial information to comply with a legal requirement, such as a law, regulation, court order, subpoena, warrant, in the course of a legal proceeding or in response to a law enforcement agency request.

We may also use your personal and commercial information to protect the copyright, trademarks, legal rights, property or safety of Sage Design and Advisory, www.sagedesignandadvisory.com, its customers or third parties.

If there is a change of control in our business

If there is a change of control in our business or a sale or transfer of business assets, we reserve the right to transfer to the extent permissible at law our user databases, together with any personal information and non-personal information contained in those databases. This information may be disclosed to a potential purchaser under an agreement to maintain confidentiality. We would seek to only disclose information in good faith and where required by any of the above circumstances.

By providing us with personal information, you consent to the terms of this Privacy Policy and the types of disclosure covered by this Policy. Where we disclose your personal information to third parties, we will request that the third party follow this Policy regarding handling your personal information.

Sage Design and Advisory is committed to ensuring that the information you provide to us is secure.

Access to your information

You may request details of personal information that we hold about you in accordance with the provisions of the Privacy Act 1988 (Cth).

A small administrative fee may be payable for the provision of information.
